1. Our Commitment
Zodize is committed to delivering high-quality software and digital services that meet agreed specifications. We take project commitments seriously and work closely with clients to ensure satisfaction. This Refund Policy outlines the circumstances under which refunds may be issued and the process for requesting them.
2. Custom Software Development — No Refund Once Work Commences
Custom software development involves the dedication of significant time, expertise, infrastructure, and resources immediately upon project initiation. Once development work has commenced on a custom software project:
- Deposits and milestone payments are non-refundable.
- This applies regardless of whether the Client later changes business direction, decides not to proceed, or is dissatisfied with a direction that was approved during the design or planning phase.
- "Commencement of work" means any design, architecture, coding, research, or planning activity undertaken by Zodize after receiving the deposit payment and project brief.
This policy exists because, unlike physical goods, software development work cannot be "returned" — time and expertise applied to a project cannot be recovered.
3. Circumstances Where a Refund May Be Considered
Notwithstanding the above, Zodize will consider a partial or full refund in the following specific circumstances:
3.1 Project Not Yet Started
If a deposit has been paid but Zodize has not yet commenced any work on the project (no design, planning, or development activity), a refund of up to 80% of the deposit may be issued. The remaining 20% covers administrative processing, scoping, and payment processing costs.
3.2 Zodize Fails to Deliver
If Zodize fails to deliver the agreed project deliverables within the agreed timeframe (with a 30-day grace period for factors outside Zodize's control) and is unable to cure the failure within a reasonable additional period, the Client may be entitled to a proportional refund for work not completed.
3.3 Material Non-Conformance
If delivered software materially fails to conform to the written specifications agreed upon before development, and Zodize is unable to rectify the issue within the agreed support period (see our Support Policy), a partial refund proportional to the non-conforming portion may be negotiated in good faith.
4. Digital Products and Downloads
Due to the nature of digital products:
- Sales of downloadable software templates, scripts, or digital assets are final once downloaded or accessed.
- If a digital product is found to be defective or significantly not as described, we will provide a corrected version or, if correction is not possible, a full refund within 14 days of purchase.
5. Consulting and Advisory Services
- Consulting sessions that have been delivered are non-refundable.
- If a booked session is cancelled by the Client with less than 24 hours' notice, the session fee is non-refundable.
- If cancelled by the Client with more than 24 hours' notice, a full refund or credit towards a rescheduled session will be issued.
- If Zodize cancels a session, the Client will receive a full refund or reschedule at their preference.
6. Subscription and Retainer Services
- Monthly retainer or maintenance plan payments that cover a period of work already in progress are non-refundable for that period.
- If a retainer is cancelled with 30 days' notice before the next billing cycle, no further charges will be made.
- Prepaid retainer months that have not yet been used may be refunded on a pro-rata basis upon written request, subject to deducting any administrative costs.
7. How to Request a Refund
To request a refund, follow these steps:
- Email billing@zodize.com with the subject line "Refund Request — [Your Project Name]".
- Include your name, company name, project name, invoice number(s), the amount paid, and a clear description of the reason for the refund request.
- Zodize will acknowledge your request within 2 business days and respond with a decision within 10 business days.
- Approved refunds will be processed within 14 business days via the original payment method where possible. Currency conversion fees and third-party payment processor fees are non-refundable.
8. Change of Mind
We do not offer refunds on the basis of a change of mind once work has commenced. Before initiating any project, we strongly encourage prospective clients to review all project specifications, pricing, and timelines thoroughly. We are happy to answer questions before you commit.
9. Disputes
If you believe a refund has been wrongly denied, you may escalate the matter by contacting our director at hello@zodize.com. We are committed to resolving disputes fairly and in good faith. Our refund decisions are made without prejudice to any statutory rights you may have under the laws of your jurisdiction.
